 The Position:

  • Coordinate processes, systems and tools ensuring governance is adhered to and that reporting is actioned by Project Managers
  • Coordinate administrative activities including coordination of the Transition SharePoint site and Outlook calendar management.
  • Support the team in delivering;
    • Project plans adapted to meet the specific outcomes for each client
    • Coordinating information and project reporting
    • Supporting on specific projects
  • Compilation of data for progress reports, Strategic Actions Trackers, Innovation Catalogues and other various databases and reports
  • Coordinate the regular update of risks, assumptions, issues and dependencies (RAID) logs
  • Support Pacific Account & Transformation Manager with Project Health Checks
  • Organise (and schedule) Programme meetings with Boards, Steering Groups, Project Managers and other Programme stakeholders. Support preparation of materials for meetings and ensure distribution in a timely manner
  • Create information dashboards and maintain processes to ensure project documentation, reports and plans are accurate and complete
  • Attend project scoping, requirements and lessons learnt workshops as required and collate action points
  • Provide administrative support for programme meetings
  • Act as a reference point for Transition queries and information and be an advocate for project best practice
  • Any other relevant duties as the role dictates

Minimum Criteria:

  • Proven work experience within an office environment
  • Experience in a similar coordination position working as part of a wider team
  • Advanced with IT applications including MS Office, especially Outlook, Word, Excel and PowerPoint
  • Use of Project Management tool MS Project  
  • Demonstrable ability to build strong and effective professional relationships
  • Ability to work to demanding schedules and tight deadlines
  • Fluent in English with good written and verbal communication skills
  • Highly organised and responsive
  • Ability to deliver under pressure, assess own priorities and multi-task
  • Ability to translate information into professional looking reports and presentations
  • Excellent attention to detail, with the ability to maintain a high level of accuracy
  • Ability to work using own initiative, plan and anticipate needs before they arise
  • Ability to command respect and credibility with a wide range of stakeholders
  • Positive team working ethos and commitment to delivery and learning
  • Ability to exercise discretion in dealing with confidential or sensitive matters

Desirable:

  • Experience working within matrix organisations and multiple reporting lines
  • Knowledge of the FM industry is a Bonus
  • Previous Defence or military experience highly desirable
