ISS Facility Services is looking for experienced and attention to detail oriented Receptionist/Concierge staff to join the team in a Full Time role supporting the service delivery of an integrated facilities service offering for our client in the vehicle manufacturing and distribution industry.  The role will be based at our client’s site at Wacol, QLD. The shifts on hand will either be 7am-3pm or 9am-5pm Monday to Friday. Availability for both times strongly desired.

The Concierge role is primarily focused on various customer service and administrative tasks to provide a welcoming first point of contact for all suppliers, employees, contractors and visitors to the head office.

Duties include but are not limited to the following:

  • Managing incoming and outgoing calls; maintaining internal phone listings and management contact lists
  • Monitor and control site access for employees, contractors, service providers, couriers, suppliers and visitors. Update and maintain staff movements and visitor register.
  • Management of Phone Enter Manager and phone systems, Voicemail, Security, Swipe Card and related computer software.
  • Arrange site inductions; update and maintain induction records.
  • Manage incoming and outgoing postage and courier requirements for site.
  • Provide administrative, organizational and communication support to the site HR Department
  • Provide back-up for certain tasks (including staff shop sales, contractor management, OH&S administration)
  • Assist with relocations, office moves or refurbishments and take responsibility for ensuring all such changes are managed in a professional, timely and efficient manner.
  • Act as a central point of contact for all departments and management and build professional relationships at all levels of the Company.
  • Develop and implement business processes and procedures to improve office services efficiencies.
  • Emergency Team member and meeting coordinator and administrator.
  • Be efficient with use of company resources and to ensure costs are considered against the office services budget.
  • Provide assistance to colleagues and team members during busy periods.
  • Always act legally and within the parameters of accepted business practice.
  • Order generation, fault logging and invoice processing
  • Provide training room setup as per the Corporate Training Calendar (average 3-4 days per month) and placement of pre-ordered catering
  • Managing administration tasks for a mixed portfolio between industrial warehouse dealerships and warehouse.

Selection Criteria

  • Demonstrated customer service focus with the ability to communicate with internal and external clients at all levels.
  • Excellent verbal and written communication skills in order to liaise with clients and draft correspondence and documentation.
  • Excellent time management and organizational skills with the ability to manage workflow and priorities and meet deadlines.
  • Ability to work under minimum supervision.
  • Good attention to detail and high level of accuracy.
  • Exhibits a strong work ethic – leads by example
  • Flexible approach to work with the ability to adapt to a changing environment.
  • Intermediate to advanced level in core Microsoft packages – particularly Word, Excel, Powerpoint, Access and Outlook
  • Ability to determine resource and material requirements
  • Knowledge of safety issues relevant to trade and a strong commitment to safe working practices
  • Able to pass an Australian National Police Check

 

Desirable:

  • Minimum 2 years’ experience in an operational office environment
