We are seeking a customer service focused, professional Receptionist for our client site in Smithtown employed on full time permanent basis with office hours being Monday – Friday 8:00am – 4:00pm.

Reporting to the Facility Manager, this position will be responsible for the day-to-day management of office services and reception. As the first point of contact for all visitors and clients it is important to provide outstanding customer service and build strong working relationships. Maintaining a professional attitude and image when under pressure is essential for this role.  

General responsibilities will include:

  • Manage Phone Enter Manager and phone systems, incoming and outgoing calls; maintain internal phone listings, and contacts list
  • Monitor and control site access for employees, contractors, service providers, couriers, suppliers and visitors. Update and maintain staff movements, visitor register including organisation of site induction and induction records
  • Provide administrative, organizational and communication support to the site HR Department
  • Provide back-up for certain tasks (including staff shop sales, contractor management, OH&S administration)
  • Assist with relocations, office moves or refurbishments and take responsibility for ensuring all such changes are managed in a professional, timely and efficient manner
  • Act as a central point of contact for all departments and management and build professional relationships at all levels of the Company

Key skills:

  • Previous experience in similar role
  • Minimum 2 years’ experience in an operational office environment (desirable)
  • Proficient in Microsoft Office Suite (especially advanced in Excel as regular work with building and interpreting spreadsheets)
  • Ability to work autonomously and unsupervised
  • Excellent customer services skills with ability to communicate effectively and build working relationships. 
  • Sound time management and organisation skills with a strong attention to detail.
  • Knowledge of safety issues relevant to trade and a strong commitment to safe working practices

An immediate start for this position is preferred
